Getting to the Program Agenda
When you’re preparing or running a PI, you’ll usually start from the PI Board. From there, the Program Agenda is just one click away.
Open the PI Board for the PI you’re working on.
Navigate to the Program Agenda section.
At the top you’ll see:
The page title, which reflects your current context (Program / Workspace / Solution).
A Meeting Link control, where you store the URL for the PI planning meeting room.
A Presentation Mode button, which lets you present the agenda as full-screen slides (enabled once you have at least one agenda).
If this is your first time on the page and no agendas exist yet, you’ll see a simple message inviting you to create your first agenda.

Working with Agendas (Tabs)
Each agenda appears as a tab at the top of the page. Tabs keep your PI Planning flow organized and easy to navigate.
Creating agendas
If the page is empty, click Add First Agenda.
If you already have agendas, click the + tab button to create another.
In the Add Agenda dialog, give your agenda a clear Title (for example “Day 1 – Opening”, “Day 2 – Team Breakouts”) and add details in the Description.
Editing content
Click a tab to select it, then click in the content area to switch to edit mode.
Use the rich-text editor to format text, add tables, and insert links.
When you’re done, click Save to keep your changes or Cancel to revert.
Managing tabs
Rename: use the tab’s three-dot menu and choose Rename.
Duplicate: choose Duplicate to copy an agenda (useful for Day 2 based on Day 1).
Delete: choose Delete to remove an agenda, confirming in the dialog.
Reorder: drag the small bars icon on a tab left or right to change the order. This also controls the slide order in Presentation Mode.
Using Templates and AI to Build Agendas Faster
You don’t have to start from a blank page. Program Agenda gives you a ready-made PI Planning template and, optionally, AI assistance.
Templates
In the editor (either inline or in the Add Agenda dialog), click Insert Template.
Choose a template such as the PI Planning 2‑day sample.
A structured agenda is inserted with time slots, events, descriptions, presenters, and links.
You can freely edit this content to match your actual schedule.
AI-based agenda generation
If your organization has enabled AI, you’ll see a Generate with AI button next to Insert Template.
Click Generate with AI to open a short form:
Agenda Level is auto-detected from context (Portfolio / Program / Solution).
For Program/Solution, select a Planning Mode (Remote, Hybrid, Onsite).
Optionally add Business Context, Objectives, and Additional Requirements (for example, “1‑day agenda, slide-based format”).
After you click Generate, AI creates agenda content and inserts it into the editor. You remain in full control and can adjust or refine it before saving.

Presenting the Agenda as Slides
When you are ready to walk stakeholders through the plan, switch to Presentation Mode. This turns your agenda tabs into a simple slide deck.
Click Presentation Mode in the header (enabled once at least one agenda exists).
A full-screen view opens, showing:
The current agenda title and a counter (for example, “Day 1 – Presentation · 1 of 4”).
The slide content, based on what you entered in the agenda description.
You can navigate:
By clicking the left/right side of the screen or using Previous / Next buttons.
By clicking a numbered indicator at the bottom to jump directly to any agenda.
Using the keyboard: ← and → to move between slides, ESC to exit.
This mode is ideal for running live PI Planning sessions, keeping everyone focused on the same schedule without exposing the editing tools.

Using the Meeting Link
The Meeting Link ensures that everyone knows exactly where to join the session.
At the top-right of the Program Agenda page, click the Meeting Link control.
Enter or update the URL for your PI planning room:
Video conference (Teams, Zoom, Meet, etc.).
Or a page describing a physical meeting room and logistics.
The control includes a tooltip (“PI Program Agenda Meeting Room”) and a helpful placeholder when no URL is set.
Once saved, this link is available to anyone opening the Program Agenda, so they always have a single, reliable place to join or reference the PI Planning session.
