The Team Capacity Management page helps you allocate and track how much capacity each team member has in every sprint.You can set a default capacity per user, see a summary across all teams and sprint

Getting to Team Capacity Management

Use this page whenever you want to prepare or adjust capacity before PI planning or during the PI.

  • Open the relevant PI Board.

  • Navigate to the Team Capacity Management section.

  • This is your starting point to configure both the default capacity and detailed per-user capacity for each team.

Default Capacity per User

At the top-right, there is a Default Capacity per User setting.This represents the typical capacity for a single user in a single sprint (for example, 8 days).

  • Adjust the Default Capacity per User using the numeric field

This value is used as a baseline when thinking about user capacity; you can still override capacities for individual users and sprints in the detailed section.

Understanding the Program Team Capacity Summary

you’ll find the Program Team Capacity Summary table.This gives you a high-level view of capacity before you dive into details.

  • Columns

    • The first column lists each Team.

    • The next columns show each active sprint (with sprint name and date range).

    • The last column is the Total capacity per team across all sprints.

  • Rows

    • Each team row shows:

      • A team avatar and name.

      • The team’s total capacity per sprint.

      • The overall total capacity for that team.

    • The final Total row at the bottom shows:

      • Capacity per sprint across all teams.

      • A Grand Total across all teams and sprints.

Use this summary to quickly check whether capacities look balanced across teams and over the PI.

Editing Team Capacity Details

Below the summary, the Team Capacity Details section lets you manage capacity at the user level inside each team.

Expand and collapse teams

  • Each team appears as a panel in an accordion.

  • You can:

    • Click a team header (e.g., “Team A – Capacity”) to expand or collapse that team.

    • Use the “Expand All / Collapse All” link to open or close all teams at once.

When you expand a team, you see a table that breaks capacity down per user and per sprint.

Understanding the team capacity table

Inside an expanded team:

  • Columns

    • User: the user’s display name.

    • One column per active sprint (same sprints as in the summary).

    • A Total column showing the user’s total capacity across all sprints.

    • An Actions column for removing users.

  • Rows

    • One row per user.

    • A Total row showing the team’s total capacity for each sprint and overall.

    • An Add User row at the bottom, with a link to add new users.

Adding and naming users

  • At the bottom of the team table, click Add User.

  • A new user row appears:

    • Click in the User cell (or the “Click to add user name” placeholder).

    • Type the user’s name and press Enter or click out of the field to save.

You can repeat this for each team member who should have capacity in that team.

Editing user capacity per sprint

  • For each user row:

    • Click in a sprint cell (e.g., Sprint 1, Sprint 2) to start editing that capacity.

    • Type the desired number (e.g., 8, 10.5) and press Enter or click away to save.

  • As you change values:

    • The user’s total updates automatically.

    • The team’s per-sprint total and overall total also update, keeping the summary consistent.

If a user does not yet have a name, you must set the name first before entering capacities (unnamed users show as placeholders and their capacity cells remain disabled).

Removing a user

  • If you need to remove someone from the capacity table:

    • In that user’s row, click the trash icon in the Actions column.

    • Confirm removal if a confirmation is shown.

Removing a user will also update the totals for that team.

Exporting Capacity Data (if enabled)

In the header, you may see an Export button (depending on your permissions).

  • Click Export to open the export menu.

  • Choose the format or option provided to download the current team capacity data.

This is useful if you want to analyze capacity in external tools, share it with stakeholders, or keep an offline record.

Summary

  • Use Default Capacity per User to set a baseline for how much work a typical user can handle per sprint.

  • Check the Program Team Capacity Summary to see if capacity looks reasonable across teams and sprints.

  • Use Team Capacity Details to add users, adjust their per-sprint capacities, and fine‑tune totals at the team level.

  • Optionally, use Export to take your capacity plan outside the tool for further reporting or analysis.
